Reinhardt Outdoors Policies
Trip Fee Policy
Trip Fees are due in full at the time of registration. Upon registering for a trip, the participant acknowledges and agrees that the required Trip Fee is to be placed on their student account. The Trip Fee is to be paid in the Business Office located on the main floor of the Burgess Administration Building before the established deadline.
Cancellation Policy
In the event a trip is canceled because of bad weather or other circumstances, the Reinhardt Outdoors staff will notify registered participants 24 hours in advance. Trips will generally not be canceled because of rain, but in the case that one is canceled due to extenuating circumstances, the Reinhardt Outdoor staff will let participants know as soon as possible. Refunds will be given on a case-by-case basis.
Refund Policy
Participants are responsible for understanding the cancellation and refund policy for the Reinhardt Outdoors trip(s) they are registering for. Reinhardt Outdoors does not issue refunds for trips that are not attended. Reinhardt Outdoors reserves the right to not issue a refund at the discretion of the program administrators. Refunds will only be given on rare occasions, and in that event, all participants will receive a refund. In the event a trip is cancelled by Reinhardt Outdoors, participants will receive a full refund. In the event a trip location or activity is changed, participants will not receive a refund. Registrants who cancel more than 7 business days before the date of the trip will receive a full refund. Registrants who cancel fewer than 7 business days before the trip's departure, regardless of the circumstances will not receive a refund.
Trip Location and Activities Change Policy
Trip locations and activities may change due to a variety of reasons including, but not limited to: inclement weather, natural disasters, operational concerns, or other extenuating circumstances. Reinhardt Outdoors prioritizes participant safety and reserves the right to make necessary adjustments to ensure a safe and meaningful experience. All efforts will be made to run scheduled trips, change of location or activity may occur.
Trip Exchange Policy
If a participant registers with payment for a trip but is unable to attend, he or she has the option to transfer the payment to another upcoming Reinhardt Outdoors trip or event. If the cost of the new trip exceeds the previous balance, the participant will have to pay the remaining associated fees. If the trip cost does not exceed the previous balance, the participant will not receive a refund.
Liability and Waiver Policy
Outdoor adventure activities can be exciting and rewarding, but may also be physically demanding and potentially dangerous. While our highest priority is given to safety, participants need to be aware of the inherent risks associated with participation in outdoor recreation activities, as well as the responsibility they assume for their own safety and well-being. Participants are responsible for medical or other costs arising out of bodily injury, illness, or property damage that may be sustained as a result of their voluntary participation, and they are required to sign a Release and Waiver of Liability/Informed Consent Form.
